What makes a great hybrid meeting? When no one is multitasking

It’s hard to stay focused during virtual meetings – especially when you can’t see or hear your colleagues. With the right technology, however, you’ll be able to enjoy a more engaging meeting experience.

It’s hard to stay focused during virtual meetings – especially when you can’t see or hear your colleagues. With the right technology, however, you’ll be able to enjoy a more engaging meeting experience. 

Emailing, scrolling through your Facebook feed and checking out a restaurant’s online menu to decide what’s for lunch – we’re all guilty of multitasking during hybrid meetings, especially when we can turn our cameras and microphones off. 

With the growing acceptance of hybrid work, virtual meetings are here to stay – and so are some new habits that have resulted in an overall more distracted workforce.

In a Logitech survey conducted in June, over 1,000 white-collar employees in Singapore were asked about the hybrid work challenges they faced as well as their hybrid meeting habits. The survey revealed that the three most common habits of virtual meeting participants were: Replying to e-mail (68 per cent), using social media (51 per cent) and browsing the Internet (46 per cent).

It seems that without the confines of a physical office or meeting room, remote participants were more easily distracted and paid less attention to the meeting at hand. When their cameras were turned off, a minority admitted to taking meetings on the bed or sofa, and even faking a technical problem to get out of meetings early. 

AN EMERGING DISCONNECT

Among those polled, 54 per cent of virtual participants who joined a hybrid meeting felt that they had fewer opportunities to build rapport with their in-office peers; 39 per cent felt that input from their in-office colleagues was more valued; and 38 per cent felt less included as compared to in-person participants. 

Setting workers up with the right technology will not only keep them engaged during hybrid meetings, but also reduce virtual fatigue by making everything easier on the eyes and ears.

With 63 per cent of respondents preferring hybrid work arrangements, business leaders will need to help their employees regain their focus and keep them engaged during meetings. 

But why are hybrid meeting participants particularly prone to multitasking? Logitech’s survey results suggest that this could be because they feel left out or that their input is not being valued. 

Mr Bryan Lee, head of B2B (Southeast Asia), explained: “When employees feel like they don’t have an equal voice, they are also less inclined to participate during discussions – resulting in them feeling disconnected from what’s happening in the room.”

To level the playing field, he added, organisations should work towards bringing about meeting equity – by providing an inclusive environment where all participants, remote or otherwise, feel empowered to speak up, contribute and share ideas.

When asked to identify areas of improvements for hybrid meetings, respondents highlighted concerns such as connectivity issues, poor audio quality that resulted in attendees having to repeat themselves, as well as poor video quality where those working from home could not see in-person participants clearly.
